Privacy Policy
This policy explains what personal information OnRecord Title collects, why we collect it, how long we keep it, and who we share it with. It covers this website, our title and escrow services, and the software we run to receive orders. Last updated October 13, 2026.
Who we are
OnRecord Title is a Utah title and escrow agency located at 1275 E Fort Union Boulevard, Suite 210, Midvale, Utah 84047 (Utah Insurance Department Agency License No. 976568). Questions about this policy go to info@onrecordtitle.com or 385-464-2060.
Information we collect on this website
- Contact and order forms. When you send us a message or an order request, we receive what you type: your name, company, email, phone, the transaction type, the property address, a target closing date, your message, and any file you attach. The form is delivered to our office by email.
- Calculators. The seller net sheet and pricing calculators run in your browser. The figures you enter are not sent to us unless you choose to submit them with a form.
- Language preference. If you switch between English and Spanish, your choice is stored in your browser so the site remembers it. It is not sent to us.
- Usage data. Our hosting provider records standard server logs (IP address, browser type, pages requested). We may use website analytics to understand how pages are used; where we do, the data is aggregated and does not identify you.
Information we collect to close your transaction
Title and escrow work requires personal information: names, addresses, contact details, identification, loan details, payoff figures, bank information for disbursements, and the documents in your file. We collect it from you, from your real estate agent or lender, and from public records. Title and escrow agencies are financial institutions under the federal Gramm-Leach-Bliley Act, and we handle this nonpublic personal information as that law requires.
How we use it
- To respond to your message and open, process and close your transaction
- To issue title commitments and policies through our underwriters
- To verify identities and wire instructions and to prevent fraud
- To meet our legal, regulatory and record-keeping obligations
- To improve this website
We do not sell personal information, and we do not use it for advertising.
Who we share it with
We share information only as needed to do the work you asked for or as the law requires:
- The parties to your transaction and their agents, lenders and attorneys
- Our title insurance underwriters
- Service providers that run our systems: our closing platform (Qualia), identity and wire verification (CertifID), digital earnest money (Earnnest), email delivery, and website hosting
- County recorders, courts, regulators and other authorities when recording documents or when required by law
Service providers may use the information only to provide their service to us.
Our order desk and Google user data
OnRecord Title runs an order-entry application ("OnRecord Title Order Desk") that reads order requests sent to our own order mailbox. It connects to that Google Workspace account through Google's sign-in and is granted read-only access to Gmail.
- What it accesses: messages and attachments in OnRecord Title's own order mailbox. It does not access any customer's Google account.
- What it does with them: reads incoming order requests so our staff can review them and open a title or escrow file. It does not send email, and it does not modify or delete messages.
- Who can see them: OnRecord Title staff who open orders. Nobody else.
- Storage and retention: order details are stored in our order-entry system for the life of the file and the retention period the law requires for escrow records. Google sign-in tokens are stored encrypted and can be revoked by us at any time from the Google account.
OnRecord Title's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not allow people to read it except for the purposes above, for security, or to comply with the law.
How long we keep it
Website messages are kept as long as needed to answer them and as part of the file if a transaction follows. Transaction files are kept for the period Utah law and our underwriters require for escrow and title records, then disposed of securely.
How we protect it
Our Security page describes the safeguards in detail: a certified closing platform, identity and wire verification, segregated escrow accounts, and the Utah licensing requirements we operate under. We never change wire instructions by email. If you receive wire instructions that look like they came from us, call our office at a number you already know before sending money.
Your choices
- You can ask us what personal information we hold about you and ask us to correct it. Email info@onrecordtitle.com.
- You can ask us to delete information we are not required to keep for an open or closed transaction.
- You can revoke the order desk's access to our order mailbox by contacting us; we can also revoke it ourselves at any time.
Children
This website and our services are for adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
When this policy changes we update the date at the top of the page. Material changes to how we handle transaction information are also provided to our customers as the law requires.
